Download the working set deliberately
Select the relevant project files using the cloud service's supported offline or keep-on-device option. Wait for downloading to complete and check available local storage. Include linked images, reference PDFs and other dependencies, not just the main document. A presentation can open while its linked media remains unavailable.
In OneDrive, always-available files are intended to remain on the device for offline use. Check the status rather than relying on seeing their names. Other services use different controls. For a browser-based application, verify whether it supports offline editing at all and what preparation it requires.
Test the whole task without the network
Save work, disconnect Wi-Fi or Ethernet, and open the required documents. Try a harmless edit and save it. Confirm that the application does not immediately require a fresh sign-in or an online licence check. Keep access and recovery arrangements consistent with your workplace's rules.
If you only need reference material, a permitted local PDF export can be sufficient. Check that it contains the pages and details you need. Do not export confidential shared documents to an unmanaged device merely for convenience. Offline availability changes where the data is stored, which may matter to your organisation.
Include the material behind the document
A project can depend on more than its visible main file. Check linked spreadsheets, image folders, reference material and any templates that are loaded from a shared location. Open the project once without the network and navigate through the parts you will actually need. A successful first page does not prove that every dependency is available.
Agree how colleagues will handle the shared file while you are offline. If they will continue editing, plan a comparison or separate contribution rather than silently replacing their current copy on return. A short note describing what you changed can make reconciliation easier than deciding between two files both labelled final.
Reconnect with version awareness
After returning online, allow synchronisation to finish and inspect any conflict message. Avoid editing the same file from another device while the offline version is being reconciled. Keep both versions if you need to compare changes; do not guess which copy contains the latest work based only on its filename.
Once the trip is over, review locally retained files and remove offline availability through the provider's appropriate control if you need the space. Deleting a synced file is not the same as removing its local copy. Preserve the working document and its backup while changing where its contents are cached.
